We're hiring an Executive Assistant to support the CEO and the founding team, and to help keep the operational side of a fast-growing, internationally distributed company running smoothly. This is a broad role: part classic executive support, part operations. If you like owning things end to end and want real influence over how a company runs as it scales, you'll have plenty of room here.
You'll work directly with the CEO in Berlin and work with a team spread across Europe, US, Asia and Australia. We're at an early stage, so the role will evolve — some of what you take on at the start will move to dedicated hires as we grow, and we'll count on you to help hand those things off cleanly.
We're looking for someone who wants to help drive the company forward. If you want more responsibility, you can find it. But for getting started, here is what we need.
What you'll do:
- Coordinating scheduling — helping protecting focus time and making sure the right things happen at the right time.
- Coordinate international travel and logistics, with timezone-aware scheduling across the team and partners.
- Handle German-language correspondence and formal documents: liaising with banks, the notary, our tax advisor, and authorities, and keeping filings and deadlines on track.
- Support day-to-day operations — maintaining records in Personio, tracking work in Linear, coordinating expenses and invoices with our finance setup, ordering equipment, and managing vendor relationships.
- Organize team gatherings, onboarding logistics, and offsites for a distributed team.
- Event coordination
- Prepare and format documents, decks, and meeting materials; capture and follow up on action items.
- Be a discreet point of contact for sensitive matters (fundraising, legal, HR), handling confidential information with care.
- Help build lightweight processes as the team grows.
